The Department and Team
Merchandise Operations is responsible for sample inbound and the style setup across systems (style-master data). This team collaborates closely with the divisional merchandising teams, product development, central supply teams, sample warehouse and process development teams.
The Position
As a Sample Coordinator, you will be part of the Merchandise Operations team and report directly to the Senior Manager Merchandise Operations. You will be supporting the Sample Specialist through administrative and operational activities within the end-to-end sample process. You will contribute in ensuring on time delivery via order and outbound preparation, continuously monitoring production and creating visibility of goods through reporting and system updates. You will mainly focus on our non-seasonal business, but may need to support on other sample related activities.
You will be working with Excel, PLM, SAP and other tools within the company and communicating with internal and external stakeholders.
Role and Responsibilities:
- Supporting the Sample Specialist in the full end-to-end sample process from order placement to delivery.
- A timely placing of purchase orders, Buying Office or vendor follow-up and continuously monitoring and updating sample delivery statuses.
- Supporting in the shipment and processing of samples orders and aligning with stakeholders involved in the process.
- Set-up, tracking and maintenance of reporting.
- Supporting the management of deadlines through building and maintaining strong relationships with the TH labels, central teams, sample warehouse (ESDC), Buying Offices and direct vendors regarding deliveries of samples.
- Proactively sharing operational knowledge and best practices to participate in team effort to raise working efficiency.
- Identifying opportunities to improve efficiency of operational activities and tools in sample process.
- Escalating in case of misaligned or contradicting process flow.
The Ideal Candidate:
- Max 2 years of related work experience.
- Fluent in English - additional languages are a plus.
- Basic to proficient knowledge of MS Excel (V-look up, pivot tables).
- Analytical and result oriented mind-set
- High level of accuracy, problem-solving skills and attention to details.
- Highly organized with good priority setting skills.
- Able to work in a demanding environment and under pressure with deadlines (time management).
- Structured and pro-active working approach.
- Flexible - no 9 to 6 mentality - in peak periods overtime may be required.
- Excellent communication skills, both written and verbally.
- Team player with a hands on mentality and who can work independently.
