The Team


Our newly built PVH Campus in located in the Houthavens area of Amsterdam, and was opened in 2018. The buildings unify all departments into a single, centralized location to consolidate operations, increase efficiencies and foster a family spirit. The campus is designed to stimulate innovation, teamwork and collaboration, and support further company growth.



The Campus consists of three state-of-the-art buildings and is approximately 40,000 m2 in size. The location boasts offices / showrooms /People¹s Place Cafes, and is home to 2,000 Tommy Hilfiger, Calvin Klein & PVH associates.

The Campus is run by the Facilities Department, consisting of 4 teams: Hospitality, Operations, Parcel Management and Projects & Workplace Management. The team is 32 people strong, and is supplemented by additional outsourced security, reception and cleaning personnel. The department’s goal is to provide consistent quality and excellent service to all associates and guests by offering a one of a kind workplace experience. Within the scope the department takes care of office refits, furniture portfolio, moving services, maintenance, security, office supplies and parcel management services.


The Position


The Mailroom Assistant reports into the Mailroom Supervisor and is responsible for operating in and around the mailroom at the campus in Amsterdam. The Mailroom Assistant will coordinate and operate through all tasks and responsibilities in an orderly and correct manner.



Key Responsibilities:


Operations


  • Make sure all incoming and outgoing parcels and packages are processed timely and correctly in the different online shipping tools (Ship it Smarter, PostNL, Qtrak, MyPUP, MyDHL+)


  • Understand and work with tools and system manuals required to execute all daily operational tasks in the mailroom


  • First line support daily shipping issues with DHL, FedEx and PostNL together with the fellow Mailroom Assistants and Mailroom Supervisor


  • Second line support daily shipping issues with DHL, FedEx, Ship it Smarter with fellow Logistics Coordinator and Manager. Support external shippers (supply offices, vendors, showrooms), and liaise with ESDC team


  • Together with the Logistics Coordinator process and support on daily network issues via FedEx Tracking and DHL CAP tools


  • First point of contact for all Amsterdam SIS and MyPUP issues alongside the fellow Mailroom Assistants and Mailroom Supervisor, such as creating a user account, checking an error or adding a cost center to an user account


  • Answering and processing all incoming telephone calls via main switchboard system


  • Responsible for daily consolidation of all outgoing packages to the frequently used addresses based on SIS data


  • Ensure daily deliveries as well as pick-ups from all carriers, both for internal as well as external clients


  • Ensure weekly maintenance of the copy corners and Parcel Drop-off Points in the campus buildings


  • Pick-up and deliver parcels and goods across the campus / Amsterdam buildings



Team


  • Back-up of the Supervisor Mailroom during absence


  • Coordinator Logistics and Parcel Management and financial coding of invoices during absence



The Ideal Candidate description:


  • Experience in operational corporate office environment


  • A MBO degree in Facility / Logistics Management or equivalent experience in managing corporate logistics office environments


  • Experience in an international environment


  • Good oral and writing skills in English (and Dutch)


  • Client- and service oriented


  • Perfect interpersonal and communicative skills


  • Ability to maintain structure yet streamline and standardize logistic processes


  • Eye for detail: good analytical numerical skills


  • Strong team player with excellent social and communication skills


  • Flexible; comfortable working in a fast-paced and fast-changing environment
