The Department and Team:


Retail Store Development is part of the Omnichannel Department which services the design, implementation, refitting and maintenance of both Tommy Hilfiger & Calvin Klein stores across Western and Eastern Europe as well as Middle East and Africa.


The Position:


As a Junior Specialist Store Development Project Coordinator you will:


  • Support the Store Development Project Managers in the opening of multiple Tommy Hilfiger and Calvin Klein store projects by ordering designated items, maintaining project administration and managing logistics processes between vendors, distribution centre and site.



  • Develop a detailed knowledge of all relevant PVH processes and apply this expertise supporting specific projects.



Role and Responsibilities:


PREPARATION AND ORDERING:


  • Create Opening Pack - VM Elements - and obtain Visual Merchandiser approval in preparation for management sign off. Place orders upon approval in cooperation with Non-Trade Supply Chain (NTSC) team.


  • Order images for hoarding and ligthboxes with designated supplier. Liaise on details with internal parties.


  • Validate quotations, compare costing across projects and maintain overall budget overviews. Acquire final approval from Project Manager.


  • Prepare, maintain and communicate various budget stages - on VM Elements (stock and supplier items).


  • Consolidate all missing items - Back Orders - in regards to the Opening Pack, communicate via a missing items list and ensure listed items are actioned (2-4 weeks after store opening)


  • Review orders with NTSC team and relevant suppliers, update on Out of Stock items, quality issue.



LOGISTICS:


  • Prepare and share Project plan (logistics planning) to 3PL (3rd Party Logisitcs Supplier).


  • Manage all shipments from Vendors inbound to 3PL or direct to site.


  • Coordinate all outbound shipments from 3PL to site or facilitate customer collection.


  • Liaise with Suppliers, NTSC team, 3PL, Country Office Teams, local General Contractors in order to deliver shipments on time to their destinations.


  • Liaise with Supplier, NTSC Team, Franchise Partners, 3PL, and Logistics Companies to ensure all required customs documentation is in place for international shipments.



ADMINISTRATION:


  • Handle and maintain project administration in systems and on the network by clear filing of information.


  • Handle data management (`Site Project Setup`) activities on project level (refit, budget, vendor, stakeholder updates).


  • Input of new or changed information in systems e.g. Budgets, Key Dates, Contact information.


  • Purchase Order creation and Goods Received Note issuing both for own and PM confirmed orders.


  • Commercial Invoice creation for all shipments when required for customs purposes.


  • Maintain budget overview, transfer completed project costs to database.


  • Prepare and issue store Opening Announcements.


  • Maintain photo library of all finished stores and specific elements (façade, stairs, etc.) and issue selected photos on request.


  • Issue contact information to all parties involved (contact sheet) occasionally


  • Assist on other related activity on request of Store Development Director.


The Ideal Candidate:


  • Degree level qualification or min.3 years work experience in relevant field.


  • Very good communication & interpersonal skills.


  • Excellent organisational skills.


  • Excellent administrative skills.


  • Strong analytical and problem solving.


  • Excellent command of the English language, written and spoken.


  • Ability to work in an advanced multi-tasking environment.


  • Attention to detail.


  • Strong knowledge of MS Office including Powerpoint.


  • Able to execute simple tasks in Adobe InDesign.


  • Experience or knowledge in logistics, international export-import is a plus.
